Here at Polaris Events we know only too well how complicated booking vendors can be, as well as how many deposits you will have to pay when planning your wedding or event, and these can soon mount up.
Which is why we like to keep things simple. To book with us all we ask is for you to sign your completed booking form (which we will fill in with you during our consultation) and to pay a nominal non-refundable deposit of 10% of the order value, which will secure your date, this can be done via BACS transfer to our company bank account.
We then ask for 50% of the total sum to be paid 6 months before the event date and the remainder of the balance to be paid 6 weeks prior to the date of the event – a full payment schedule will be included on your invoice which will be sent to you once the deposit has been received.
If the date of your event is less than 12 months out, a slightly different payment schedule will apply, this will be explained prior to booking and included within your contract with us.
If you need to cancel:
Your deposit will not be returned upon cancellation.
You must notify us of cancellation by email or recorded delivery post.
On receipt of written cancellation, 90 days or more before the event
Any monies from 1st Payment not used for buying clients stock will be returned.
Cancellation within 90 days of the event will result in loss of any amount already paid to us
Cancellation of your booking after paying the final balance is non-refundable as space and time is allocated and supplies are pre-arranged i.e. flowers, staging equipment, glassware, linen ware and props etc.
If we need to cancel:
If we have to cancel due to unforeseen or extenuating circumstances, we will use reasonable endeavours to arrange an alternative event planning service for you or put you in touch with alternative event planning service providers. In this circumstance any monies paid to us will be refunded to you in full.
Examples of extenuating circumstances include (without limitation) family bereavement, strikes, riots, theft, equipment failure and serious traffic problems.
In the event of other circumstances preventing the wedding to go ahead, such as fire, flood, earthquakes or any other natural or human acts, including but not limited to pandemics, Polaris Events can take no responsibility for the cancellation. We will work with you to re-arrange any services we will provide to your chosen date pending availability. If you choose to cancel refer to points 1,2,3 & 4 in “If you need to cancel”
